1. Download the template
Choose the appropriate pay stub template from Hubstaff’s offerings (Basic, Basic with Calculator, or with PTO and Overtime) in your preferred format (Google Sheets, Google Docs, or PDF).

2. Enter company information
At the top of the pay stub template, fill in your company’s name, address, and contact information. This ensures proper identification and professionalism.
3. Input employee details
Add the employee’s name, address, employee ID, and social security number. This personalizes the pay stub and ensures accurate record-keeping.
4. Specify the pay period
Indicate the start and end dates of the pay period for which the pay stub is generated. This helps track payment periods accurately.
5. Enter earnings information
Regular hours: Input the number of regular hours worked and the hourly wage or salary amount.

If using the Basic template, manually calculate total earnings (sum of all income sources), total deductions (sum of all deductions), and net pay (total earnings minus total deductions).
10. Review the information
Double-check all entries for accuracy to ensure all information is correctly inputted and calculated.
11. Save and distribute
Save the completed pay stub. You can print it out or distribute it electronically to the employee. Ensure you keep a copy for your records.
